Terms & Conditions

These Terms & Conditions govern the provision of studio and content production services by The Content Lab NI LTD (“The Content Lab”, “we”, “us”, “our”) to any individual or organisation (“Client”, “you”, “your”) booking studio time, purchasing a session, or subscribing to a membership tier.

Membership subscribers will sign a separate Membership Agreement that takes precedence over these Terms where the two conflict. By completing a booking or signing up to a membership tier you confirm that you have read, understood, and agree to be bound by these Terms.

1. Services

The Content Lab provides studio hire and video content production services from Unit 13, Ormeau Business Park, Belfast BT7 2JA. Our services include ad-hoc studio bookings billed by the hour and membership-based content production subscriptions operated under our Plan · Record · Scale model.

The studio is offered in defined setups (Lounge, Prime, Signal) which may be added to, amended, or withdrawn from time to time. All sessions are subject to availability and to confirmation by The Content Lab.

2. Bookings

Ad-hoc bookings. Studio time may be booked online and is reserved once payment has been successfully processed via Stripe. Until payment is captured the slot remains available to other clients and may be released automatically.

Membership (account) bookings. Membership clients draw sessions from a monthly studio-hour allocation as set out in their Membership Agreement. The number, length, and frequency of sessions per calendar month is determined by the membership tier.

Strategy sessions. Free strategy sessions are offered to qualifying account clients at a frequency of one per month. Strategy sessions are subject to admin confirmation and the issue of a Google Meet link.

3. Fees & Payment

The headline studio rate for ad-hoc bookings is £350.00 per hour (excl. VAT), with VAT charged at the prevailing UK rate (currently 20%). Add-on hours and additional services are charged at the rates displayed at the point of booking.

All ad-hoc booking fees are collected at the point of reservation via Stripe (credit or debit card, Apple Pay, or Google Pay). Membership subscription fees are collected at the start of each monthly billing period in accordance with the Client’s Membership Agreement.

If a payment fails or is reversed, we will notify you and attempt to recover the outstanding amount. Repeated failure to process payment may result in suspension of studio access and bookings until the account is brought up to date.

We reserve the right to charge interest on overdue amounts at 8% per annum above the Bank of England base rate, calculated from the date payment was due.

4. Cancellations, Rescheduling & Rollover

Cancellations within 48 hours of a scheduled booking may result in the loss of that session and any allocated hours used to pay for it. Cancellations made more than 48 hours in advance may be rescheduled subject to availability.

Refunds. Ad-hoc bookings are non-refundable once confirmed except where The Content Lab is unable to provide the booked session for reasons within our control. In such cases we will offer a comparable rescheduled slot or a refund of the session fee.

Membership rollover. Unused membership studio hours roll over for up to 30 days, capped at a maximum of 4 hours, unless otherwise agreed in writing.

5. Punctuality & Studio Use

Studio time commences at the scheduled booking time. Late arrival by the Client will result in a corresponding reduction of available session time; sessions will not be extended to compensate for late starts.

The Client agrees to attend sessions prepared, to provide creative direction where required, and to comply with all reasonable operational and safety instructions given by The Content Lab team.

6. Guests & Third Parties

The Client is responsible for the conduct of any guests, contributors, or third-party attendees they bring to the studio.

The Client must ensure that all on-camera guests have signed any necessary image, likeness, or talent release forms before recording begins. The Content Lab may refuse to record contributors for whom appropriate releases are not in place.

7. Content Production & Delivery

Where production and editing services are included in the Client’s package, content is delivered digitally (e.g. via Frame.io or an equivalent platform).

The Content Lab will endeavour to deliver initial edits within 5–10 working days from the date of recording where reasonably possible. Delivery timelines are estimates only and may vary depending on content complexity, volume of deliverables, and production workload. No fixed delivery deadlines are guaranteed unless agreed in writing.

One (1) round of revisions is included per asset. Additional revisions or “change of mind” edits beyond the first round may incur additional fees. Feedback on delivered drafts must be provided within seven (7) working days; if no feedback is received within this timeframe the content will be deemed approved and the revision round concluded.

8. Intellectual Property & Raw Footage

Final delivered content. Ownership of the final delivered content transfers to the Client upon receipt of full payment for the applicable session or billing period.

Raw footage and project files. The Content Lab retains full ownership of all unedited video and audio files and editing project files unless a separate buyout has been agreed in writing.

Internal assets. The Content Lab retains ownership of its frameworks, systems, templates, and proprietary AI workflows used to produce the Client’s content.

Data storage. Raw footage will be hosted for sixty (60) days following the recording session. After this period we reserve the right to delete raw files to manage storage capacity, unless a long-term storage arrangement is in place.

9. Usage Rights

The Client grants The Content Lab the right to use produced content (including behind-the-scenes material and finished deliverables) for portfolio, marketing, and promotional purposes across our website, social channels, and proposals.

We will not misrepresent the Client or use content in any defamatory or misleading way. Confidential content must be flagged and agreed in writing in advance of recording so that it can be excluded from any promotional use.

10. AI & Data Usage

AI-assisted tools may be used to support planning, transcription, captioning, and editing workflows.

No client-confidential data will be used to train external AI models without consent. All AI processing is carried out in alignment with UK GDPR requirements and our processors’ published data-handling commitments.

11. Studio Safety & Liability

Acknowledgement of risk. The Client acknowledges that participation in studio activities involves inherent risks including, but not limited to: lighting rigs and overhead equipment, electrical equipment and cabling, trip hazards such as cables, stands, and staging, and movement of equipment during production.

Client responsibility. The Client agrees to take reasonable care while using the studio, to follow all safety instructions provided by The Content Lab, and to ensure that all guests and third-party attendees also comply with these requirements.

Liability waiver. To the fullest extent permitted by law, The Content Lab shall not be liable for personal injury, accidents, or loss of or damage to personal property arising from attendance at or use of the studio. Nothing in this clause excludes liability for death or personal injury caused by proven negligence.

Damage to property. The Client is responsible for any damage to studio equipment, furniture, or fixtures caused by the Client or their guests beyond normal wear and tear. The Content Lab reserves the right to recover reasonable costs for repair or replacement.

12. Limitation of Liability

The Content Lab shall not be liable for indirect loss, loss of profit, loss of opportunity, or consequential loss arising out of or in connection with the services.

Our total aggregate liability to the Client, whether in contract, tort (including negligence), or otherwise, is strictly limited to the total fees paid by the Client in the three (3) months immediately preceding the event giving rise to the claim.

13. Force Majeure

Neither party shall be liable for delays or failures in performance caused by events beyond their reasonable control, including but not limited to power failure, fire, flood, illness, transport disruption, civil unrest, or government intervention. Where such an event affects a booked session, The Content Lab will use reasonable endeavours to reschedule at no additional cost.

14. Confidentiality

Both parties agree to keep confidential any proprietary or commercially sensitive information disclosed during the course of the engagement, and not to disclose such information to any third party without prior written consent. This obligation survives termination of the engagement.

15. Performance & Outcomes

The Content Lab provides content production services designed to support the Client’s marketing objectives. While our structured approach is intended to maximise the effectiveness of the content produced, the performance of any content (including engagement, reach, or business results) depends on a range of external factors beyond our control, including distribution, audience, and broader marketing activity.

Accordingly, specific performance outcomes cannot be guaranteed, and ultimate responsibility for marketing performance remains with the Client.

16. Non-Solicitation

For the duration of the engagement and for twelve (12) months following its end, the Client agrees not to directly or indirectly hire or engage any employee or contractor of The Content Lab without our prior written consent.

17. Privacy & Data Protection

We process personal data in accordance with the UK GDPR and the Data Protection Act 2018. The personal data we collect via the booking flow and client portal (name, email, phone, company, booking details) is used solely to provide and administer our services, communicate with you, and comply with our legal obligations.

Payment data is handled by Stripe and is never stored on our systems. You may request access to, correction of, or deletion of your personal data at any time by contacting us at the address below.

18. Governing Law

These Terms are governed by the laws of Northern Ireland. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.

19. Changes to these Terms

We may update these Terms from time to time. The version published on this page at the date you make a booking is the version that applies to that booking. Material changes affecting active memberships will be communicated directly to subscribers.
